Print-Ready File Checklist: How to Set Up Your Design

The most common cause of print delays isn't the printer — it's files that aren't print-ready. Here's a complete checklist to go through before submitting your design to 53Printers (or any print shop).

The Core Requirements

1. Resolution: 300 DPI at Print Size

Low-resolution images look fine on screen but print blurry. Your file needs to be 300 DPI at the actual print dimensions. A 72 DPI web image at 500px wide will print at about 1.67 inches — not 7 inches.

Quick check: In Photoshop, go to Image → Image Size and set resolution to 300 with "Resample" unchecked. If your dimensions shrink to something unusable, your image is too low-res.

Exception: Large format (banners 2ft+ wide) can use 150 DPI at print size.

2. Color Mode: CMYK (Not RGB)

Screens display RGB. Printers use CMYK (Cyan, Magenta, Yellow, Black). RGBCMYK conversion can shift colors, especially vibrant blues, purples, and greens.

Set your file to CMYK *before* you start designing. Converting at the end often means adjusting colors that have shifted.

3. Bleed: 0.125 inches on All Sides

Bleed is extra image area beyond the cut line. Without bleed, slight shifts during cutting leave white edges.

  • Business cards, flyers, postcards: **0.125 inch bleed**
  • Banners and large format: **0.25–0.5 inch bleed**
  • Keep important content (text, logos) at least 0.125 inch *inside* the cut line (the "safe zone")
  • 4. Fonts: Outlined or Embedded

    If you're submitting an editable file (AI, PSD, INDD), either:

  • **Outline all text** (convert to shapes — no longer editable) — preferred
  • **Embed all fonts** in the file
  • If we don't have your font, text reflows or substitutes. Outlining eliminates this risk entirely.

    5. File Format

  • **PDF (print-quality)** — preferred for all products
  • **AI (Adobe Illustrator)** — excellent, especially for vector work
  • **PSD (Photoshop)** — fine for photo-heavy designs
  • **PNG/JPG** — acceptable if 300 DPI; check resolution carefully
  • We do not recommend submitting Word (.docx), PowerPoint (.pptx), or Canva downloads (often low-res JPEGs).

    Quick Checklist

  • Resolution 300 DPI at print dimensions (150 DPI for large format)
  • Color mode set to CMYK
  • Bleed added (0.125" for standard, 0.5" for large format)
  • Important content in safe zone (0.125" from cut line)
  • All fonts outlined or embedded
  • Saved as PDF, AI, or high-res PNG/JPG
  • Proof viewed at 100% zoom for obvious errors

    What happens if I submit a low-resolution file?

    We'll flag it before printing and give you the option to resubmit a higher-resolution version or approve the file as-is with the understanding that print quality may be affected.

    Can you fix my file for me?

    Yes — we offer a file check and prep service. For simple fixes (converting to CMYK, adding bleed) we often do this at no charge. For more involved work, we'll quote a small design fee.

    Can I submit a Canva file?

    Canva allows you to export a "Print-ready PDF" with crop marks and bleed — use that export option. Standard Canva PDF downloads are often RGB with no bleed.
